Understanding your Area Report

 Notes for better understanding: 

·         Area reports are sent the first week of each month via e-mail to the RDs who distribute to their districts. The reports are in an Excel format for custom sorting.

·         Members may be listed in only one location, which is determined by their home address. Please keep in mind that you may have members who participate in "border chapters". For example, if a member lives in Utah (Region F) and
participates in a Wyoming chapter (Region I), the member will be listed on the Utah/Region F Area Report which will indicate their participation in the Wyoming chapter. The Member will not be listed on the Wyoming/Region I Area Report. However, within the Region the member can be listed in another Chapter or another District through the use of the "Override" See Table below.

·         Chapters are automatically assigned to new members or members who have a change of address based on their zip code. Each district is responsible for updating the Home Office of zip codes changes. As new chapters are formed, it may require that zip codes be moved from one chapter to another. In addition, state and counties may use new zip codes for zoning purposes. Please watch for new zip codes in your area and notify the Home Office if new zip codes need to be added to a chapter. To prevent confusion, zip codes may only be assigned to one chapter. Zip code reports are released at the request of RDs or DDs only. ·         Keep in mind that all information on the area report is to be used for GWRRA business only. Please refer to your Officer Resources Link for a complete statement on GWRRA Policy regarding reports.

NEW

(Y) Indicates a new member. New members have this indicator for 30 days. After that period, sort by Join Date (Column R) to locate new members

B

CHAPTER

Indicates which Chapter the members are assigned.  If members desire to be assigned to another Chapter they must contact the District R&R Coordinator.

C

OFFICER

Indicates District or Chapter Director.

D

CHAPTER OVERRIDE

(X) Indicates member lives in an area outside the geographic area where he or she participates. Provides a tool to list members in the chapter where they participate.

E

MASTER

Indicates the number assigned to the member who is a Master Tour Rider (Level IV) in the Rider Education Program.

F

TOT SPON

Indicates total number of new members the individual has recruited.

G

YTD SPON

Indicates number of new members the individual has recruited in the current year.

H

GW ID

Indicates the member's GWRRA membership number.

I

FNAME

Indicates first name of member.

J

LNAME

Indicates the last name of the member.

K

ADDRESS1

Indicates street address of member.

L

ADDRESS2

Indicates any additional street addresses of member, i.e., Suite # or P.O. Box etc.

M

CITY

Indicates city the member lives in.

N

STATE

Indicates state the member lives in.

O

ZIP

Indicates zip code where the member lives (Zip Codes determine to what chapter members are initially assigned).

P

PHONE

Indicates member’s phone number

Q

EMAIL

Indicates member’s e-mail address  (Everyone is encouraged to list this for easier communications)

R

JOIN

Indicates the date member joined GWRRA.

S

TERM

Indicates the date that the member’s membership expires.  Life Members indicate an expiration date of xx/2099.
